Responsibilities:
- Assist in researching contacts (emails/phone numbers) of targeted Trade Programme participants.
- Actively call and reach out to companies to establish contact and explain the Downtown Design Trade Programme.
- Liaise with the CRM team to navigate Salesforce and pull relevant information when necessary.
- Assist in the daily review of registrations to verify Trade registrations and upgrade to the Trade Programme if relevant.
- Serve as the point of communication for general inquiries and questions sent via email regarding the Trade Programme leading up to the fair.
- Liaise with the travel department to coordinate and finalize the itineraries of hosted participants and manage communication with them.
- Learn to navigate the Jublia app (meeting platform) dashboard and backend to monitor the activity of hosted Trade participants.
- Liaise with the team and assist in setting up a comprehensive B2B meeting schedule for hosted buyers.
- Monitor participant engagement on Jublia, such as checking how many have logged in, sent meeting requests, etc.
- Leading up to the fair, check which exhibitors have not signed on and help them register on Jublia.
- During the fair, manage the following:
- Coordinate with tour guides to be fully updated on the itinerary of hosted Trade participants.
- Manage the B2B Meetings interns who will monitor the engagement of hosted participants onsite by cross-checking the meeting schedule, exhibitors, and Jublia.
- Follow up personally to check if they are fulfilling their meetings and if they need assistance.
- Serve as the point of contact for any technical issues with Jublia and liaise with the Digital Product Manager.
- Be present onsite during the fair to assist if technical issues occur with Jublia and liaise with the Digital Product Manager.
- Assist in executing the post-event questionnaire and compiling the data.
- Collect feedback from participants post-meeting to evaluate satisfaction and identify areas for improvement.
- Assist in preparing reports on meeting outcomes, including the number of meetings conducted, feedback received, and any notable successes or challenges.
- Update contacts on Salesforce post-fair.
The ideal candidate should be able to do the following:
- Be willing to work outside of normal working hours (9am to 6pm) and days (Monday-Friday) during the project if necessary
- Work and organize content proficiently using Microsoft Office (including Word, Excel and PowerPoint)
- Basic knowledge of digital platforms such as Google docs, sheets, and slides
- The role requires a candidate who is confident, enthusiastic, flexible, hard-working, and organized
- Candidate should have a professional demeanor and diplomatic approach
- Excellent communication, writing and research skills are necessary
- Excellent time-management and problem-solving skills
- Capacity for initiative, long-term planning, and decision-making
- Ability to work in a team and under pressure, for long hours when necessary
- Ability to quickly integrate into a new environment and work within the given structure
- Accurate and reliable work
- Calm, well-mannered and always friendly
- Excellent command of English and proficiency in Arabic is preferred
- Relevant experience in assisting and working on large-scale events preferred
